Old Lexington Trace Homeowners’ Association Meeting Minutes
St Gregory the Great Episcopal Church
April 28, 2005, 6:30 P.M.

 CALL TO ORDER:

The meeting was called to order by President, Venessa Banks at 6:30 P.M.

She thanked Holli Kuykendall, Vice President and Gay Gandrow, Treasurer for their work for the past year and a half on the Board of Directors.

It was motioned by Gay Gandrow and seconded by Lance Wells that the minutes from the 8/5/ 05 Homeowners’ Association meeting be approved. Motion carried.

BUSINESS:

Election of Officers: Lance Wells was elected Vice President and Lauren Fleming was elected Treasurer. Congratulations to these two new Board Members.

FY 05 Budget: There were three budget proposal options submitted to the membership. Option A) Included basic day-to-day expenses, Option B) Included adding a street light with wooden pole and a cobra head light at the second entrance, Option C) Included underground wiring with a metal pole at the 2 nd entrance.

It was motioned by Bob Leiter and seconded by Herbert Barden that Option B be accepted and that the budget include a homeowners’ block party. The motion passed and annual dues are thus set at $89.00 per household.

There was discussion about adding more lighting such as a flood light at the first entrance so that people could find our subdivision easier. The Board will look into this.

Recommended Committees:

There was discussion about the block party for the Homeowners. An Events Planning Committee will be formed and details will be developed and distributed. Overall the owner’s felt that this is a good idea and an opportunity for everyone to get to know each other.

The Owner’s voted to form two other committees in addition to the Events Planning Committee. These are the Neighbor Assistance Committee and The Old Lexington Trace Walking Club.

The Neighbor Assistance Committee will help residents who are experiencing difficult times with yard work and errands. The Walking Club will be the healthy group that wants to stay in shape, encourage others to stay in shape, and support each other by walking together.

UPDATES:

Lili Hill presented the new OLT Homeowner’s Directory. The group thanked Lili and her husband Mike for their work on this project. The Directory will be copied and distributed to homeowners. It was mentioned that this Directory is for homeowner’s use only and not to be distributed beyond the neighborhood.

DUES ARE DUE, now that the budget is set, the annual homeowners’ dues are $89 per household. All homeowners are expected to pay dues annually. These dues are used to pay for the lighting, maintenance of common areas and entrances, functions of the Homeowner’s Association and enforcing the covenants and bylaws of the neighborhood. The purpose of the Homeowner’s Association is to protect the property value and investment that each of us has in our home. CHECKS SHOULD BE MADE PAYABLE TO THE OLD LEXINGTON TRACE HOMEOWNER’S ASSOCIATION (OLT/HOA). Please mail or deliver your check to Lauren Fleming at 180 Lexington Circle.

ADDITIONAL ITEMS:

Venessa distributed 3x5 cards and pointed out that there was a suggestion basket in the back of the room for people to place their cards with their ideas.

 PRESENTATION:

Katie Jones from the Neighborhood Watch Program made a presentation on the merits of the NWP. Brochures are included with the minutes. This is a good thing for our neighborhood and we have met all of the qualifications. A sign will be posted at each of the entrances and Lili Hill has agreed to be our NWP Captain. Thank you Lili.

The meeting was adjourned at 8:00 P.M.
